Full terms of use

ScopeProof is a product of Kovar Ltd. In these terms, “ScopeProof”, “we”, “us” and “our” mean Kovar Ltd. Company number: 14623518. Registered in: England and Wales. Registered office: 64 Lime Tree Road, Nottingham, NG15 6AL, United Kingdom. Business correspondence address: 64 Lime Tree Road, Nottingham, NG15 6AL, United Kingdom.

By creating an account, you agree to these terms. Please also read our Privacy notice, which explains our use of personal information; it is not a request for blanket consent. A paid subscription starts when your order is accepted and confirmed. These terms and any plan details shown before you order form your agreement with us.

ScopeProof helps you organise, prepare and monitor selected data-protection requests. We may help you identify a suitable route, prepare information from your instructions, send a request where the route is available and authorised, and show related status updates or responses.

You can exercise data-protection rights directly with organisations without using or paying ScopeProof; such requests are normally free. A catalogue entry does not establish that the organisation holds information about you or that an automated route is available.

We do not promise that an organisation will locate, remove, correct, disclose or stop using information. We do not provide legal advice, make decisions for another organisation, guarantee delivery or response, or independently verify a controller’s statement that it has deleted information.

You must provide accurate information, keep your password confidential and tell us promptly if you believe your account has been accessed without permission. You are responsible for instructions you give or authorise. You are not automatically liable for unauthorised activity merely because it occurred through your account.

You must be aged 18 or over and use the service for your own personal data. The standard authority does not support acting for another person. Do not submit another person’s information or sign an authority in their name.

Before ScopeProof sends a request on your behalf, you must review and give the required authority. Every request asks the selected organisation to erase eligible data and to stop using it for direct marketing or advertising, including related profiling and sharing for marketing, and withdraws any marketing consent you previously gave that organisation. There is no option to leave marketing or advertising use in place. A minimum suppression record may remain only to prevent renewed marketing. Your signed authority covers the named organisation and those instructions. It continues until you revoke it or your paid plan ends, and can be revoked through your account or by contacting us. You remain responsible for checking the request details and the information you choose to include.

Revocation stops new submissions and routine follow-ups under that authority. It does not automatically withdraw a request already delivered. A response already in transit may still be received to close the request. Contact us if you want to discuss a different instruction.

We will only act within the permission you give us. We will not enter contracts, make financial decisions, waive your rights or take unrelated action for you. We do not submit regulatory complaints, start court proceedings or make compensation claims under the standard authority. A receiving organisation may ask for proportionate identity or authority evidence. Do not put identity documents or highly sensitive information in the ordinary request fields; any such requirement needs a separate secure process and your instruction.

  • Paid features are available only when checkout is enabled. The plan, available routes and total charge are shown before payment; no particular broker outcome is included as a guarantee.
  • The current price and billing interval for your selected plan are shown before checkout.
  • Subscriptions renew automatically for the same monthly or annual period until cancelled. An annual plan is charged upfront for the full year; the monthly equivalent is not a monthly instalment plan. Any discount and its duration must be confirmed at checkout.
  • Stripe provides hosted checkout and billing services. We do not receive or store your full payment-card number.
  • You can stop renewal through your account or the Stripe billing portal, or email us if you need help. Ordinary cancellation takes effect at the end of the current paid period. It does not normally refund that period; the statutory cancellation and other refund rights below still apply.

Prices are stated in pounds sterling. The total including applicable taxes will be shown before payment. Any change to your renewal price will be notified in advance so you can cancel before it applies.

If you are a UK consumer buying the service online, you normally have 14 days from the day after the contract is made to cancel without giving a reason. Send a clear cancellation statement to [email protected] or the correspondence address above before the period expires. Account or billing controls are not the only way to exercise this right.

If you expressly ask us to start the paid service during that period, we may charge only a proportionate amount for the service actually supplied before you cancel, and only where we have given the required information and the law permits it. You lose the cancellation right for a service fully performed during that period only if you expressly requested early performance and acknowledged that consequence. Simply opening an account or sending one broker request does not automatically remove your cancellation rights for an ongoing subscription.

Where a cooling-off refund is due, we will refund you within 14 days of being told of your decision to cancel, using the original payment method unless you expressly agree otherwise, without a refund fee. Rights to a remedy for a service that does not meet the contract are separate and continue after the cooling-off period.

You can use this optional cancellation form, but do not have to:

To: Kovar Ltd, 64 Lime Tree Road, Nottingham, NG15 6AL, United Kingdom; [email protected].

I/We hereby give notice that I/We cancel my/our contract for the supply of the ScopeProof service. Ordered on: [date]. Name of consumer(s): [name]. Address of consumer(s): [address]. Date: [date]. Signature of consumer(s): [only if sent on paper]. Delete as appropriate.

You must not use ScopeProof to submit unlawful, abusive, misleading or harassing requests; impersonate another person; upload malware; attempt to bypass security controls; interfere with the service; or use information about another person without a lawful basis and appropriate authority.

You can cancel renewal and keep your account for the remaining paid period, or request account deletion. Successful deletion ends workspace access immediately and removes live account records under the retention schedule. It also arranges cancellation of an active subscription at period end. It does not automatically erase provider copies, withdraw delivered broker requests or issue a refund. Any statutory refund or erasure rights remain available. Save information you need before deleting the account and contact us if deletion cannot complete.

We may suspend or close an account where reasonably necessary to protect the service, comply with law, investigate misuse or deal with unpaid charges. We will explain the reason and give reasonable notice and an opportunity to resolve the issue where practicable, except where urgent action is needed or disclosure is legally restricted. If we discontinue a paid service without a breach by you, we will refund the unused prepaid period. Suspension does not remove your consumer or data-protection rights.

We own or license the website, software, design and service materials. We give you a personal, limited, non-transferable right to use the service while your account is active and you comply with these terms. You retain ownership of information you provide.

We work to keep ScopeProof available and secure, but access may occasionally be interrupted for maintenance, security, provider outages or events outside our reasonable control. A receiving organisation controls its response and must comply with the legal obligations that apply to it. Its internal policies do not override statutory rights or deadlines.

Nothing in these terms limits liability that cannot legally be limited, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or your statutory consumer rights. We will provide our service with reasonable care and skill. If we fail to do so, statutory remedies may include repeat performance or a price reduction or refund. We are responsible for reasonably foreseeable loss caused by our breach of contract or failure to use reasonable care and skill. We do not control an independent receiving organisation’s decisions, records or systems, but that does not exclude responsibility for our own acts or omissions, including an unauthorised disclosure.

We may make proportionate changes for legal, security or service reasons and will publish a dated version. We will give reasonable advance notice of changes that materially affect an active paid subscription, explain the reason and allow you to cancel before they apply. If a change materially reduces a prepaid service and you do not accept it, you may end the affected service and receive a refund for the unused period. Urgent legal or security changes may take effect sooner. Changes do not retrospectively remove accrued rights.

Questions, cancellation requests and service complaints can be sent to [email protected].

These terms are governed by the law of England and Wales, subject to mandatory consumer protections where you live. Consumers in Scotland or Northern Ireland may bring proceedings in their home courts; nothing here requires a UK consumer to use an exclusive foreign court.
